Eventbrite Financial Reports and Year-End Wrap Up

Fiscal Year-End Preparation

As the end of the fiscal year approaches, it is a great time to review your event financials and wrap up any outstanding administrative tasks for Extension Eventbrite.

Reviewing Your Event Metrics

The Eventbrite reports that you may find useful are available at the event level.

The information on each event's Dashboard page provides exactly what you need to evaluate your outcomes, specifically your net sales and sales breakdown. Net sales reflect the actual revenue generated for your program after fees and processing any refunds or cancellations, while the sales breakdown displays your gross sales, fees, and a specific distribution across online, offline, and manual transactions.

Tracking and Managing Revenue

Monitoring these figures ensures everything balances perfectly as you conclude your seasonal programming. Three to five days after your event ends, the registration funds are received from Eventbrite and are then automatically moved into the specific receipts project-phase that you selected on your initial event request form. From there, you should be able to see and track them directly in the Ledger/Wolfpack Reporting System (WRS).

Spending Down Balances

As a reminder, any funds received through Extension Eventbrite can be used for any expenses allowable for state funds. Please keep in mind that these funds must be spent down by the end of the state's fiscal year. For specific information about managing your project balances or navigating WRS, please reach out directly to the CALS Business Operations (CBO) team.
