NCSU's OIT will soon be making changes to Google Workspace that may impact you indirectly. Currently, an active NCSU employee can access a Google Doc owned by an inactive Google account and make changes to that document. As of June 30th, OIT will begin implementing a new policy so that an active employee will no longer be able to edit or make changes to a Google Doc owned by an inactive user account. These changes will take up to 14 days from June 30th to be completed and after this time the files will be view only. Users who may be impacted by this will need to either move the file to a Shared Drive (if you are an editor) or make a copy of the file.
Inactive accounts include the following: Separated Employees; Students who left the university without a degree; Students who were admitted but never enrolled; and in the future will include Alumni who have left the university more than six months prior.
It is recommended that all NCSU users follow the appropriate separation guidelines, which includes the off-boarding checklist. For more information about the process of transferring Google Drive files of separated employees (before leaving and after), see our Removing Separated Employees page.
