How to Share Your Screen in Zoom

Sharing your screen in Zoom allows you to present slideshows, demonstrate software, share documents, or collaborate on visual materials during a meeting.

How to Start Sharing Your Screen

  1. Open the Share Controls In your active Zoom meeting window, click the green Share Screen button located in the bottom toolbar.
  2. Select What You Want to Share A window will pop up showing options divided into different categories:
    • Entire Screen (Desktop): Displays your entire monitor. Choose this if you need to switch between multiple applications during your presentation.
    • Specific Application Window: Displays only one selected app (e.g., PowerPoint, Chrome, Word). Participants will only see that specific application, even if you move other windows on top of it.
    • Whiteboard: Opens a blank digital canvas for real-time drawing, brainstorming, and note-taking.
  1. Configure Audio and Video Options (Optional) If your presentation includes multimedia, adjust the settings at the bottom of the selection window before sharing:
    • Share Sound: Check this box if your presentation includes video or audio clips so participants can hear your computer's native audio.
    • Optimize for Video Clip: Check this box when sharing full-screen video content to ensure smooth playback frame rates.
  1. Click Share Click the blue Share button in the lower-right corner. A green border will appear around the portion of your screen currently being broadcasted.

Screen Share Controls and Tools

While sharing, the standard Zoom toolbar moves to the top or bottom of your screen and includes several key features:

  • Pause Share: Temporarily freezes the image your participants see, allowing you to navigate privately on your device before resuming (Resume Share).
  • New Share: Switch directly to a different application or screen without stopping your current session first.
  • Annotate: Access drawing tools, highlighters, text boxes, and stamps to mark up the shared content in real time.
  • Stop Share: Click the red Stop Share button at any time to end your screen sharing session.

Best Practices

  • Clean Up Your Desktop: Close sensitive documents, personal messaging apps, and unnecessary browser tabs before joining the meeting to avoid accidental exposure.
  • Check Host Permissions: If you do not see the green Share Screen button, the meeting host may have restricted sharing. Ask the host to enable participant sharing in their security settings.
