The primary distinction between these two systems lies in how memberships are populated and controlled:
- EIT Lists: Membership is maintained by EIT. These lists are managed centrally. They are typically used for high-level communication across Extension.
- Google Groups: These are user-driven. Membership is managed manually by a designated group owner. They are designed for committees, collaborating with colleagues, or project teams where membership is fluid and not strictly defined by university records.
Interactive Discussion and Archiving
Although many people use Google Groups simply as a distribution list, the platform is designed to support ongoing discussion and knowledge sharing.
- Web-Based Discussion Space: Each group includes a web interface where members can read and participate in threaded conversations. This keeps project discussions organized in a shared, searchable location rather than scattered across individual inboxes.
- Automatic Message Archives: Messages sent to the group are automatically stored. This archive allows new members or stakeholders to review past discussions and understand the context behind decisions.
- Flexible Reply Options: Members can participate either through the web interface or by replying through email, while still maintaining a consistent record of the conversation.
Management via Web Registry
At NC State, Google Groups are created through the NC State Web Registry. This requirement ensures each group is associated with active university personnel and meets institutional security and governance standards.
Groups must also be renewed annually through the Web Registry. If a group is not renewed by the designated contacts, the group email address will be deactivated and its message archives will be removed.
